WhatsApp for B2B sales: Sharing quotes and invoices the smart way

WhatsApp for B2B sales: Sharing quotes and invoices the smart way

In the Gulf, India and much of the world, business happens on WhatsApp. Contractors approve quotes there, shop owners ask for statements there, and buyers chase deliveries there. The question is no longer whether to use WhatsApp for B2B sales, but how to use it without losing control.

The problem with “just WhatsApp it”

  • Salespeople save PDFs to their phones and forward them by hand.
  • Nobody can prove which version of a quote was sent, or when.
  • When a salesperson leaves, the customer conversation leaves with them.

Two ways to send from an ERP

Company WhatsApp (Business API) Personal share
Sent from Your official company number The salesperson’s own WhatsApp
Delivery status Sent, delivered and read, tracked Logged as shared by the user
Best for Invoices, statements, formal documents Relationship-led sales chats

Best practice: WhatsApp for B2B sales

  1. Send documents straight from the ERP, so the version is always the current one.
  2. Keep a log of every document shared, by whom and when.
  3. Use the company number for invoices and statements; allow personal share for relationship selling.
  4. Never send a draft. Only share approved, final documents.

How Square Loop helps

Square Loop shares quotations, sales orders, delivery notes, invoices, receipts, purchase orders, payments, credit notes and debit notes by email or WhatsApp from the document itself. Use the WhatsApp Business API on your company number with delivery and read tracking, or let staff share from their own WhatsApp with every share logged, including shares from the mobile app. Drafts and cancelled documents can’t be sent. Payment reminders can also go out on WhatsApp with the customer’s statement.
